Terms of Service
1. Agreement to These Terms
These Terms of Service set out the conditions under which RSF Family Management LLC provides its family scheduling and property oversight services and under which visitors may use the website at rsffamily.autos. By using the website, by submitting an enquiry or by engaging our office, you agree to these terms. If you do not agree, please do not use the website or the services.
If you engage us on behalf of a household, a trust or another organization, you confirm that you have the authority to accept these terms for that household or organization. Where a signed service agreement exists, that agreement takes precedence over these terms for the work it covers, and these terms apply to everything else.
We have tried to write these terms in plain language. Where a term has a technical meaning we explain it in the sentence where it appears. If anything remains unclear, please contact the office before you begin a service so that the point can be settled in advance.
2. About Our Office
RSF Family Management LLC is a family schedule and property management office located at 7533 S Center View Ct, West Jordan - 84084-5526, United States (US). We maintain household calendars, oversee family property, coordinate school and activity dates, plan home maintenance, arrange visits and manage seasonal logistics for households in the Salt Lake valley.
You may reach the office by email at scheduling@rsffamily.autos or by telephone at +16673761135. Our business hours are Monday to Thursday from 9:00 to 17:00, Friday from 9:00 to 15:00 and Saturday by arrangement. Messages received outside those hours are answered on the next working day unless the matter is urgent.
We are not a law firm, a tax practice, a real estate brokerage, a licensed contractor or a medical provider. We coordinate with professionals in those fields where the work requires it, but the professional advice itself remains with the qualified professional.
3. The Services
The services we offer are Household Schedule Coordination, Family Property Oversight, School and Activity Calendars, Home Maintenance Planning, Visitor and Guest Arrangements and Seasonal Family Logistics. The scope of each service is described on the services page of this website and, where a family engages us, in a written service outline prepared for that household.
A family may select any combination of services. The service outline records what has been selected, the frequency of visits or reviews and the method of reporting. If a family asks for work that falls outside the outline, we will confirm whether we can provide it, what it will cost and how it will be recorded before the work begins.
We provide planning and coordination rather than hands on construction, repair or caregiving. Where a task requires a licensed trade or a regulated professional, our role is to help arrange the appointment, confirm access and record the outcome, not to perform the regulated work ourselves.
4. Eligibility and Authority
Our services are available to adults who can enter into a binding agreement. A person under the age of eighteen may use the website only with the involvement of a parent or guardian. An enquiry submitted by a minor will be treated as having been sent with that involvement.
Where a household is held in a trust, a company or another structure, the person who engages us must be authorized to act for the owner of the property and the family it serves. We may ask for written confirmation of that authority before a service begins, and we may decline an engagement where authority is unclear.
We may decline an engagement or end one where the work would require a qualification we do not hold, where the relationship would create a conflict, or where the conduct of a family member makes safe work impossible. Any such decision is explained to the family in writing.
5. Engagement and Onboarding
An engagement begins with a listening visit. We sit with the family, learn how the week actually runs and review the property if oversight is part of the request. There is no charge for the first conversation, and no obligation arises from it. After the visit we provide a written service outline that describes the plan we propose and the fee that applies.
The engagement becomes binding when the family accepts the written outline and, where a deposit is required, when the deposit has been received. Until that point either side may walk away without further obligation, apart from the confidentiality that already applies to what was discussed.
We may ask for information that is needed to run the plan, such as access arrangements, a list of people authorized to receive parts of the schedule and the names of preferred contractors. A family is responsible for keeping those details current and for telling us promptly when an access code, a key holder or a contact changes.
6. Family Schedule Scope
Schedule coordination covers the building and maintenance of a family calendar, the review of the coming week, the flagging of overlaps and the distribution of change notices to the adults and caregivers the family has named. It does not cover the personal attendance of a family member at an appointment, the supervision of a child or the delivery of care.
We rely on the accuracy of the dates that are provided to us. Where a school, a program or a family member tells us a date, we record it and confirm it back. If a date changes and we are not told, the plan will reflect the old date. We review the calendar on the agreed rhythm so that errors are caught quickly, but a family should still tell us directly when a commitment changes.
The schedule is a planning tool. It reduces the chance of a missed appointment and the friction of conflicting commitments. It does not remove the responsibility of each adult to check the plan and to attend to the matters that fall to them. A schedule is only as reliable as the information that feeds it.
7. Property Oversight Scope
Property oversight covers a visual inspection of the property on the agreed rhythm, the recording of observations in a written report and the flagging of items that need professional attention. It is a condition review, not an engineering inspection, a structural survey or a building code compliance assessment.
Our team reports what can be seen and reached on an ordinary visit. We do not open walls, enter unsafe spaces, climb to a height that requires fall protection, or examine a system that a licensed technician should assess. Where an issue requires a specialist, we say so in the report and help the family arrange the right appointment.
A visit is limited to the areas that the family has made accessible. If a room is locked, a storage area is unsafe or a tenant is absent, we record that the area was not reviewed and why. The absence of a note about an issue is not a guarantee that the issue does not exist.
Photographs taken during an oversight visit belong to the family file. We use them only to support the report and the maintenance plan. We do not publish them, share them with another client or use them in marketing without written permission.
8. Maintenance and Contractors
Maintenance planning covers the creation of a dated yearly plan, the grouping of small tasks into efficient visits, the booking of contractors and the follow-up of completed work. We help the family choose a suitable contractor from those we know or from those the family already trusts, but the contractual relationship for the repair itself is between the family and the contractor.
We confirm access, provide the contractor with the information needed to quote and complete the work, and record the outcome in the property file. We do not warrant the workmanship of a contractor, the materials used or the price agreed. If a family is unhappy with a contractor, we will help them raise the matter and will record the outcome, but the remedy is a matter between the family and the contractor.
Quotations and approvals are handled by the family unless the family has given us written authority to approve work up to an agreed limit. Where such authority exists, we will obtain a written quote before committing to anything and will record the approval in the property file. Any work above the agreed limit requires a fresh instruction.
9. Guests and Seasonal Arrangements
Guest arrangements cover room preparation, meal planning, transport coordination and a printed outline for a visit. Seasonal logistics cover the mapping of the family year, travel and house watch plans, storage rotation and cover for school breaks. Both are coordination services and both depend on timely instructions from the family.
Where we arrange transport or a booking on behalf of a guest, the booking is made in the guest or family name and the terms of the provider apply. We confirm the details with the family before payment is committed. We do not accept liability for a provider cancellation, a weather delay or a change of schedule that is outside our control.
A printed outline is a guide for the household, not a formal legal document. It may contain access information and personal notes, and it should be handled with the same care as any family record. We recommend that the family keeps the outline in a secure place and tells us if it needs to be replaced.
10. Family Obligations
A family that engages our office agrees to provide accurate and complete information about the schedule, the property and the people who need access. The family agrees to tell us promptly about any change that affects the plan, including a change of address, a change of contact details, a new key holder or a maintenance issue that has appeared.
The family agrees to maintain safe access to the property, to keep dangerous conditions within reasonable control and to tell us about any hazard that our team should know about before a visit. This includes animals that may be present, unstable structures, restricted areas and any other condition that could affect the safety of a visitor.
- Provide accurate information about the household and the property.
- Tell us promptly when details change.
- Provide safe and lawful access for scheduled visits.
- Obtain any consent needed from other occupants of the property.
- Pay invoices in accordance with the agreed terms.
- Treat our team and contractors with ordinary courtesy and respect.
A family is responsible for the consequences of information that it does not provide or does not update. Where a missed detail causes a problem, we will help resolve it, but we cannot accept responsibility for a fact that we were never told.
11. Fees and Payment
Fees are set out in the written service outline for each household. They may take the form of a monthly retainer, a fee per visit or a fee per project, depending on the services selected. The outline records the amount, the billing rhythm and the date on which payment is due.
Invoices are issued by email to the billing contact named by the family. Payment is due within the period stated on the invoice. Where a payment is late we may suspend non urgent work after giving written notice, and we will resume as soon as the account is settled. We do not charge interest unless the signed outline provides for it.
Where a service requires a third party payment, such as a contractor quote or a booking fee, we will obtain the family approval before the payment is made. Expenses incurred at the direction of the family are billed at the amount incurred and are supported by a receipt where one is available.
Fees may be reviewed once a year. We will give at least thirty days written notice of any change and the new fee will apply from the next billing period. A family that does not accept a revised fee may end the engagement in accordance with the section on termination below.
12. Scheduling and Cancellation
Visits and reviews are scheduled in advance against the family plan. A family may reschedule a visit by giving reasonable notice, and we will move it to the next available time. Where a visit is cancelled at short notice and a contractor has already been booked, the family may remain responsible for the contractor charge.
If our office must cancel a visit, we will tell the family as soon as possible and offer an alternative date. Where the cancellation is our fault and cannot be rescheduled within a reasonable period, we will adjust the fee for the affected month.
Seasonal work has its own calendar. A winter planning review, a holiday guest preparation or a summer travel handover each has a booking window, and a request made after the window may not be possible in the same season. We will tell the family clearly when a request cannot be met on time.
13. Communication and Records
We communicate mainly by email and telephone. The family names a primary contact and, where it wishes, additional people who may receive parts of the plan. We record the important points of a conversation in the household file so that there is a shared memory of what was agreed.
Email is convenient but is not a secure channel for every kind of document. We will not send highly sensitive documents by ordinary email without first discussing a safer method. Where a family chooses to send such a document by email, it does so understanding the ordinary risks of that channel.
We keep the household file for the duration of the engagement and for a reasonable period afterward. The privacy policy describes the retention in more detail. A family may ask for a copy of its own file at any time, and we will provide one in a readable form.
14. Confidentiality
We treat everything a family tells us as confidential. That includes the schedule, the state of the property, the identity of the people who live there and the reasons behind a decision. We do not discuss one household with another and we do not use a family name in marketing without written permission.
Confidentiality has ordinary limits. We may share information with the people the family has authorized, with a contractor where a task requires it, with our professional advisers and with a public authority where the law requires disclosure. We may also share information where it is necessary to prevent serious harm to a person.
The duty of confidentiality continues after an engagement ends. A former family can expect the same discretion as a current one. If a family wishes us to return or destroy a file after the engagement ends, we will do so where the law allows and we will confirm the action in writing.
15. Use of the Website
You may use this website for lawful purposes connected with learning about and contacting our office. You may not attempt to gain unauthorized access, interfere with the working of the site, submit malicious code, scrape the site at a volume that burdens its host or use it to send unsolicited messages to other people.
The content of the website is provided for general information. It is not professional advice on property, law, tax or health. A decision about a property or a family arrangement should be made with the help of the qualified professional who knows the circumstances, not from a web page alone.
We may change, suspend or withdraw any part of the website at any time. We do not guarantee that the site will be available without interruption, and we are not responsible for a loss caused by an interruption that is outside our control.
16. Intellectual Property
The text, layout, styling, graphics and code of this website belong to RSF Family Management LLC or to a licensor. You may view the site and print a page for personal reference. You may not copy, republish or distribute a substantial part of the site for commercial use without written permission.
The name RSF Family Management LLC and the identity of the family office are protected by the ordinary law that applies to business names and marks. Nothing on this website grants a right to use the name in a way that suggests an endorsement or a connection that does not exist.
When our office prepares a schedule, a maintenance plan or a guest outline for a family, the family owns the information in the document. We retain the right to use the method and the general form of our planning materials, without the family details, to improve the way we work for other households.
17. Third Party Services
Our work sometimes involves a third party, such as a contractor, a transport provider, a booking service or an online calendar. We choose those providers with care, but we do not control their work and we do not warrant their performance. The terms of the third party apply to the service they provide.
Where a link on this website leads to a third party site, the link is provided for convenience. We do not endorse the content of that site and we are not responsible for its privacy or security practices. A visitor should read the terms of the third party before relying on it.
If a third party causes a problem with a booking or a repair, we will help the family document the issue and pursue a resolution. The remedy itself lies with the third party, and our assistance does not transfer their responsibility to us.
18. Disclaimers
The services are provided with reasonable skill and care by an experienced family office. Beyond that commitment, the website and the services are provided as they are. We do not promise a particular outcome from a schedule, a property review or a maintenance plan, because outcomes depend on facts and people outside our control.
We do not guarantee that a schedule will prevent every missed appointment, that an oversight visit will find every defect or that a maintenance plan will prevent every failure. A property is a complex physical system and a family is a complex human one. Our work lowers risk; it cannot remove it entirely.
Nothing in these terms excludes a warranty or a right that the law does not allow us to exclude. Where a legal warranty applies, it applies alongside these terms. The disclaimers above operate only to the extent that the law permits.
19. Limitation of Liability
To the extent permitted by law, RSF Family Management LLC is not liable for an indirect, incidental, special, consequential or punitive loss arising from the website or the services. This includes a loss of profit, a loss of opportunity or a loss that depends on a third party.
Our total liability for a claim arising from an engagement is limited to the fees paid to us for the service to which the claim relates during the twelve months before the claim arose. This limit does not apply to a loss that the law does not allow us to limit, including liability for fraud or for death or personal injury caused by our negligence.
The limit reflects the size of a family office and the nature of the work. We carry ordinary business insurance and we encourage a family to tell us early about any concern so that it can be resolved before it grows. A prompt conversation is usually more useful than a formal claim.
20. Indemnity
You agree to indemnify RSF Family Management LLC against a claim, loss or expense that arises from your breach of these terms, from information that you provided that was false or misleading, or from your failure to obtain a consent that was needed for the work. This obligation applies only to the extent that the claim is caused by your conduct.
We will tell you promptly if a claim is made, will give you the opportunity to take part in the response and will not settle a claim in a way that admits fault on your part without your agreement. The indemnity does not apply where the loss is caused by our own negligence or by our breach of these terms.
This section survives the end of an engagement. It exists to make clear where responsibility lies when a problem is caused by information or an action rather than by the service itself.
21. Suspension and Termination
Either side may end an engagement by giving thirty days written notice. Fees for work already performed remain due, and a deposit that has been applied to completed work is not refunded. We will provide a closing summary and hand over the household file where appropriate.
We may suspend or end an engagement immediately where a family does not pay an overdue invoice after notice, where a family provides unsafe access, where a family asks us to act outside the law or where the conduct of a family member makes safe work impossible. In such a case we will explain the reason in writing and give the family the opportunity to respond.
On termination we will return any keys, access devices or original documents that belong to the family. We will keep the records that the law requires us to keep and will delete the rest in accordance with the privacy policy.
22. Governing Law and Disputes
These terms are governed by the laws of the State of Utah and the laws of the United States that apply in Utah, without regard to a conflict of law rule. A dispute that cannot be resolved by conversation will be brought in the state or federal courts located in Salt Lake County, Utah, and each side consents to that jurisdiction.
Before a formal step is taken we ask that the parties try in good faith to settle the matter directly. A written notice describing the issue, sent to the office address or by email, gives both sides a clear starting point. Many concerns are resolved at this stage.
Where a family lives in another state, the law of Utah still applies to the engagement unless the signed outline says otherwise. Nothing in this section prevents a consumer from using a right that the law of the consumer place of residence makes available and that cannot be waived.
23. Changes to These Terms
We may update these terms from time to time to reflect a change in our services or in the law. The date at the top of the page records the version in force. A material change will be notified to active families by email before it takes effect.
A family that continues to use the services after a change takes effect is treated as having accepted the updated terms. A family that does not accept a change may end the engagement in accordance with the termination section above.
We will not apply a new term to a past dispute or to work that was completed under an earlier version. Each engagement is judged by the terms that applied while the work was done.
24. General Provisions
If a provision of these terms is held to be unenforceable, the remaining provisions continue in force. The unenforceable provision will be read down so that it has the widest effect that the law allows. A failure to enforce a provision on one occasion is not a waiver of the right to enforce it later.
These terms, together with the signed service outline and the privacy policy, form the whole agreement between the parties for the services. An earlier conversation or an informal message does not add a term unless it is recorded in writing and accepted by both sides.
You may not transfer an engagement to another person without our written consent. We may transfer our business or an engagement to a successor, provided that the successor agrees to be bound by these terms and by the confidentiality obligations described above.
Notices are sent to the email address or postal address that the family has given us. It is the responsibility of the family to keep those details current. A notice is treated as received on the working day after it is sent by email or within three working days of posting within the United States.
25. Contact Us
If you have a question about these Terms of Service, please contact the family office before you begin a service. We are glad to explain how a particular term applies to your situation.
